A prospect list becomes more useful when another recruiter can understand why each company is there. The aim is not to write a long company profile. It is to keep enough evidence beside the account to support a relevant decision and avoid repeating the same research.
Keep the brief small and reproducible
Start with company name, recruiting specialty, observed role, primary source URL and the date checked. Add a short observation in your own words. Distinguish the date you checked a page from the date the employer says the job was posted.
Do not infer that a role is newly opened just because you first saw it today. If posting history is unknown, say so. The source link and a precise observation are more useful than an unsupported statement about urgent demand.
Separate observation from interpretation
Example observation: “The employer’s careers page listed a senior data engineer in New York when checked on September 30, 2026.” Example hypothesis: “This may be relevant to our data-engineering desk.” Neither statement establishes that the company will engage an agency.
Add the unresolved question: whether the role is still being actively filled, whether the desk has relevant expertise, or whether an existing account owner already has a relationship. Keep an internal next action instead of turning every item into an immediate message.
